Campus Procedures & Guidelines for Substitutes

1. Arrival & Check-In

• Check-In Time: Please arrive at least 15–20 minutes before the first bell (by 7:45 a.m.) to allow time to collect materials and review lesson plans.

• Main Office: Stop by the main office to sign in, receive your sub badge, pick up your classroom keys, and grab your sub folder for the day.

• Sub Folder Contents: Your folder will include emergency rosters, class rules, daily schedules, dismissal tags/list, and a Sub Feedback Form to leave notes for the teacher.

2. Classroom & Student Management

• Lesson Plans: Follow the teacher's lesson plans as closely as possible. If you need clarification or extra materials, reach out to a grade-level neighbor teacher.

• Attendance: Take attendance promptly by 10:00 a.m. Record any tardies or absences according to the instructions in your sub folder and send the roster down to the office.

• Positive Behavior (PBIS): Northlake follows the PBIS framework. Encourage and celebrate positive behavior throughout the day! Refer to the posted classroom expectations for specific rewards or procedures.

3. Safety & Emergency Protocols

• Keys & Doors: Keep your classroom door locked at all times during instruction. Never leave students unattended.

• Badges: Wear your substitute badge visibly around your neck throughout the entire day.

• Emergency Maps: Review the emergency map posted near the classroom door (fire drills, lockdown, severe weather procedures). In the event of a drill or emergency, take your emergency roster with you and account for every student.

4. Recess & Lunch

• Escorting Students: Escort your class to and from the cafeteria, specials (Art/Music/PE), and recess on time.

• Duty Responsibilities: Check your sub folder for any scheduled cafeteria or playground supervision duties assigned to the teacher for that day.

5. Dismissal Procedures

• Preparation: Begin dismissal prep 10 minutes prior to the final bell. Ensure students pack up, clean their areas, and a teacher will come around to pickup your bus riders and escort them to the gym.

6. End-of-Day Check-Out

• Classroom Reset: Ensure the classroom is tidy, windows are closed, and student work is neatly collected.

• Teacher Note: Complete the Sub Feedback Form in your folder letting the teacher know how the day went, noting exceptional behavior as well as any issues.

• Main Office: Return your classroom key, sub badge, and folder to the main office before leaving for the day.

• Nurse/Clinic: Dial 43385 for any health or medical concerns.

• Neighboring Classrooms: Don't hesitate to lean on team members in your grade-level hallway—our staff is always happy to help!
